How agency-client communications can be strengthened through simplified contemplation

In the beginning, a new relationship between a client and an agency is often more about trust than output. Transparency around expectations, scope and value from the outset helps both parties make fair decisions, particularly when pace and pressure come into play. When transparency is established at the onset, it is easier to navigate urgent requests, evolving needs and those moments where a simple ask quickly turns into something more complex.

When a simple request becomes a joint decision

In evolving industries, opportunities often arrive without warning. Plans shift before lunchtime, briefs land before home time, and decisions have to be made in real-time. For agencies, ad hoc requests from smaller or non-retainer clients can provide valuable opportunities to demonstrate agility, reliability and expertise. For clients (or potentials), these moments can be equally valuable, offering access to timely expertise, clearer direction under pressure, and the chance to test how a partnership performs when it matters most.

These ‘projects’ are not insignificant regardless of their size. In many cases, a single request can lead to deeper collaboration, expanded work and long-term partnerships, especially when both parties value respect, transparency and shared outcomes. The key is approaching ‘quick asks’ strategically rather than reactively.

Before jumping in: What to clarify

When requests for urgent support fall outside of an agreed scope, it’s worth taking a breath long enough to assess whether the effort is meaningful or a detour down a rabbit hole.

Before jumping in, a few questions can help:

  1. Is the brief clear enough to act on? 

Briefs can sometimes lack clarity, especially when timelines are tight, increasing the risk of rework and misunderstandings. Taking even a short moment to talk it through, document the direction and gain written confirmation can prevent confusion later.

  1. How far should the support go? 

Define upfront how much input, research or ideation is immediately required, and what can be developed later. This framework helps ensure that exploratory work remains productive and aligned with priorities, protecting time and resources for both parties.

  1. Are expectations and timelines synchronised? 

Last-minute requests typically come with tight deadlines. Outlining the steps, boundaries and realistic turnaround time helps protect both the quality of the outcome and the working relationship.

  1. Have costs and parameters been acknowledged? 

Even if a formal agreement isn’t in place yet, verbal or written alignment on predicted costs and deliverables creates shared accountability and avoids awkward conversations later.

Slowing down a knee-jerk response 

Unscripted requests often stem from internal urgency rather than strategic intent. Taking time to contemplate these questions can save everyone time and resources.

Here are two simple considerations: 

  1. Assess if immediate action is really necessary. Would 24–48 hours allow for clearer thinking and better execution? 
  2. Consider the cost of reacting vs waiting. What happens if the response is delayed slightly? Is immediacy driven by impact or impulse?

Planning the next steps together

By applying clear thinking, managing expectations, and planning next steps together, both agency and client can separate strategic projects from reactive tasks, strengthen the relationship, and unlock new growth opportunities.

The goal isn’t simply to say yes or complete work under pressure – it’s to make choices that protect capacity, respect value, and ensure that any project undertaken serves the shared objectives of both parties.

When urgent requests arise, the strongest outcomes come from joint reflection and alignment. By discussing priorities, assessing impact, and agreeing on realistic timelines together, the agency and client can turn last-minute requests into purposeful, well-considered initiatives. Shared responsibility, open communication, and mutual respect not only make the partnership more resilient but also create a foundation for sustained, strategic growth.
